Privacy Policy

How Kova handles the personal information you send through this website.

1. Who is responsible for your information

Kova ("we", "us") operates this website at kova-scaling.com. We are accountable for the personal information under our control. Questions about this policy, or about the information we hold on you, go to kova.brand12@gmail.com, which reaches the person responsible for privacy at Kova.

2. What we collect, and why

We collect personal information for one purpose: to respond to you and to carry out work you have asked us to do. Specifically:

  • When you book a call. Your name, email address, preferred date and time, timezone, and anything you choose to write in the notes field. We use it to confirm the appointment, send reminders before it, and follow up afterwards.
  • When you email us. Whatever the email contains, kept so we have a record of the conversation.
  • When you visit any page. Aggregate, anonymous statistics such as which pages were viewed and roughly where in the world the visit came from. See section 6.

We do not ask for information we do not need. There is no account to create, no newsletter subscription, and no payment taken on this site.

3. Consent

You give consent by sending us the information, submitting the booking form or emailing us. You can withdraw it at any time by writing to us, subject to any legal or contractual records we are required to keep. Withdrawing consent may mean we can no longer provide a service you have asked for.

4. Where it goes and who can see it

Booking submissions are emailed to Kova and stored on the website's own server so that a failed email does not mean a lost enquiry. Access is limited to people at Kova who need it to do the work.

We do not sell, rent or trade personal information. We share it only with service providers that make the site work, our web host, and the email provider that carries our mail, and only to the extent they need it. Some of those providers operate servers outside Canada, which means your information may be stored in, or accessible from, another country and subject to that country's laws.

We will disclose information if we are legally required to, for example by a court order.

5. Artificial intelligence in our work

We use AI tools as part of how we build websites. It is the reason we can deliver in days rather than weeks, and we would rather say so plainly than leave you to guess.

What that means in practice:

  • Material you send us for a project, such as your business details, service descriptions, photographs and draft wording, may be processed by third-party AI services while we build your site.
  • We use providers that allow us to opt out of having your material used to train their public models, and we take that option. We cannot control what a provider does beyond the terms it publishes.
  • We do not put sensitive personal information through these tools. Customer lists, health information, financial records and anything similar stay out of them. If your project genuinely needs such data handled, tell us and we will agree a different arrangement in writing first.
  • Nothing an AI produces is published without a person checking it. These tools invent facts confidently, and we treat anything they produce about your business as a draft until it has been verified against what you told us.
  • You can ask us not to. Say so before the project starts and we will build without them. It takes longer, and we will tell you how much longer before you decide.

The enquiry form on this site is not connected to any AI service. What you type into it is emailed to us and stored on our server, and that is all.

6. Cookies and analytics

This site sets no cookies of its own, and there is no cookie banner because there is nothing to consent to.

We use privacy-friendly, cookieless analytics to count page views. It does not set a cookie, does not store an identifier on your device, and does not build a profile of you or follow you to other websites. We see totals, not people. There are no advertising or social-media trackers anywhere on this site.

7. How long we keep it

Enquiry records are kept for 24 months after our last contact with you, then deleted. We keep them that long so we can pick up a conversation that went quiet, and no longer because there is no reason to. Records connected to paid work are kept for as long as Canadian tax and business record-keeping rules require, which is currently six years. Anonymous analytics totals are kept indefinitely, because they identify no one.

8. Keeping it safe

The site is served over HTTPS, so anything you submit is encrypted in transit. Stored enquiries sit outside the public web root and are not reachable from a browser. Access is limited to those who need it. No system is perfect and we do not claim otherwise, but we do not keep information we have no use for, which is the most reliable safeguard there is.

9. Seeing what we hold, and correcting it

You have the right to ask what personal information we hold about you, to see it, and to have it corrected if it is wrong. Write to kova.brand12@gmail.com and we will respond within 30 days, as PIPEDA requires. We may need to verify who you are first. There is no charge for a reasonable request.

You may also ask us to delete what we hold, and we will unless we are required to keep it.

10. If you are not satisfied

Raise it with us first. Most things are a misunderstanding and are fixed quickly. If we cannot resolve it, you have the right to complain to the Office of the Privacy Commissioner of Canada, at priv.gc.ca.

11. Changes to this policy

If we change how we handle personal information, we will update this page and the date at the top. Material changes will be flagged on the site rather than made quietly.
